Privacy Policy

 

An integral part of the work we (Haggerty Jaques) undertake as a recruitment consultancy involves us collecting, recording and processing personal data relating to our candidates (i.e. the individuals we seek to place in a new role), clients (i.e. the firms, companies and organisations into which we place candidates), visitors to our website and suppliers to Haggerty Jaques. We do so in accordance with the EU General Data Protection Regulation.

We take our responsibilities as a data controller very seriously and are registered with the Information Commissioner’s Office under registration reference ZA328420.

We understand how important it is to treat your data with care, respect and discretion. We are completely transparent about how we use your data so, if you have any questions at any stage in our relationship, please do speak to us.

We may be required to amend this Privacy Policy from time to time. Any updated versions will be published on our website as soon as they are available.

If you are a candidate

To enable us to provide you with bespoke recruitment services, we collect, process and record relevant personal data (e.g. your name) and sensitive personal data (e.g. any health issues which impact on your working life).

Most of the personal data we collect from our candidates is collected via our Candidate Registration Form (CRF). This document is completed by you as the candidate at the point of registration and is information that we deem necessary to allow us to understand your personal circumstances and what you are looking for.

The types of data we collect from you on the CRF includes:

– Your contact details

– Nationality and eligibility to work

– Education and qualifications

– Employment history

– Salary and benefits details (current and expected)

– What you are looking for and why

– Reason(s) for looking for a new role

– Financial information where a client needs to perform financial credit checks

– Details as to your health where you volunteer this information because it may have an influence on what you are looking for

– Details as to any adjustments that may be needed as a result of a disability

– Details as to why you may wish to work flexibly, where you volunteer that information

– Emergency contact details in case we need to contact someone about an emergency involving you

– Anything else you choose to tell us

On the CRF we ask you to tell us why and how you would like to hear from us going forward. This is on an opt-in basis.  You can change your mind about future contact from us at any time.

As our working relationship progresses, we will record any CV or interview feedback concerning you and the details of any discussions we have surrounding your ongoing requirements.

We also collect data to comply with our legal and regulatory obligations as a recruitment consultancy (e.g. we ask all candidates for a copy of their passport or work visa to confirm that they have the legal right to work in the UK).

We do not ask you for data which we do not genuinely need to enable us to provide you with recruitment services.  For instance, we do not routinely collect details as to your religion or sexual orientation unless you volunteer that information for a specific purpose (e.g. you may include on your CV the fact that you are a member of the LGBT community and would like to become involved with LGBT initiatives at your new place of work). Some of our clients may, however, ask if you would provide them directly with those details for equality and diversity monitoring purposes.

We also collect your data when you, as a candidate, provide us with a copy of your CV. We treat your CV with the utmost respect and discretion; we will never release a copy of your CV to a client unless you have specifically asked us to, which is why we will be at pains to check with you in advance which clients we can approach on your behalf. An important part of the service we provide is in advising on your CV, the content it should include and tailoring it to a specific vacancy. This means that we will almost always make changes to the way your CV is presented. The content of the CV comes directly from you, however. You are entitled to receive a copy of your CV at any point in the process and it is our policy to provide you with a copy of the CV the client has received before you attend any interviews.

If your personal details change, please tell us as soon as possible so we can ensure that our records are accurate and up-to-date.

If you are a client

We will collect data about you/the organisation you work for from direct dealings we have with you as a client as well as any relevant information we may obtain via other means such as articles in the media or via our candidates. We collect, record and process this data in order to continue to provide you with bespoke recruitment services. The types of data we may collect include:

–    Employee contact details to enable us to stay in touch about your organisation’s recruitment requirements

–    Anything specific to the firm/company/organisation in terms of salary bandings, benefits and bonus schemes etc.

–    Reason(s) for recruitment

–    Any information relating to incoming or departing employees which is relevant to our work

–    Interview feedback

–    Invoicing information

–    Anything else you choose to tell us

If you are a visitor to our website

When you access our website (www.haggertyjaques.com), we electronically record some very basic details (which do not identify you as an individual) for the purposes of us monitoring how frequently our website is visited and which parts of the website are most often viewed. We do this so we can maintain and improve the content of our website.

If you are a supplier to Haggerty Jaques

If you provide us with goods or services, it may be necessary for us to keep a record of names, contact details and financial information to enable us to pay any amounts due to you and/or supply any information you need from us.

Provision of data to third parties

We will only ever provide personal data to third parties where it is absolutely necessary – e.g. to send a candidate’s CV/details to a prospective employer with that candidate’s prior consent or to fulfil any legal and/or regulatory requirements.

In the event that we need to use a different platform for recording and storing the data we hold (such as the need to use a different form of client and candidate database going forward) then it may be necessary for a third-party service provider to have access to all of the data we hold for the purposes of setting up the new IT system(s). We will always make decisions and select service providers with a firm eye on the safeguarding of your data.

Candidate referrals

When a candidate is referred to us under our Recommend a Friend scheme, we will make a note of that individual’s contact details in order to make contact with them. It is a term of our Recommend a Friend Policy that you obtain that individual’s permission before you pass their contact details to us.

For how long do we keep your personal data?

If for any reason we have not had any contact with you for a period of two years, we will delete your information from our systems unless we need to retain it to fulfil our legal and/or regulatory obligations.

Whether you are a candidate or a client, we will seek to have some form of contact with you at least every 12 months to ensure that the data we hold about you remains accurate and up to date.

If you decide to unsubscribe from any email notifications we send to you, you will have no further contact from us.

How do we keep your data safe?

We take data security extremely seriously and have in place technical safeguards to reduce the risk of your data being accessed by anyone else, amended, lost or misused.

In the event that you think your data has been compromised, please contact amy@haggertyjaques.com or katie@haggertyJaques.com including “Data Privacy” in the email subject line so that we can investigate straight away.

Your rights with regard to your data

You are entitled to access the data we hold about you, ask us to amend that data or ask us to delete your data entirely (the right to be forgotten).

If you wish to access your data or have it amended or deleted, please contact us by email at: hello@haggertyjaques.com, including “Data Privacy Request” in the subject line so that we can attend to your request as quickly as possible.

Although we would urge you to contact us in the first instance should you have any data privacy concerns, you do have the right to make a complaint to the Information Commissioner’s Office (tel: 0303 123 1113 or email: casework@ico.org.uk).
